Membership records and access rules

Membership Organization Website Development

Membership sites combine public information with restricted content and recurring administrative work. I scope the website around the organization’s membership rules and the system that owns its records.

Choose the system of record

An association platform, CRM, or membership database should have clear ownership of status, renewal dates, and contact information. Document how the website receives updates and how it handles an expired membership or an unavailable provider. Avoid two competing sources for the same status.

Define access by role and membership state

Public visitors, applicants, active members, staff, and administrators may need different capabilities. Map each protected document, directory field, event, and editing function to an approved role. Test expired sessions and revoked access as well as the normal sign-in path.

Connect events, renewals, and publishing

Existing payment and event tools may meet the need through supported links or integrations. The scope should separate a successful payment from an active membership and define reconciliation when a webhook or notification fails. Staff need an understandable way to resolve exceptions.

Relevant community platform context

The Shadow Lakes HOA portfolio describes a community-management website with resident information and organizational workflows. It provides related publishing and community context; the membership rules and access controls for a new organization must be specified separately.

Frequently Asked Questions

Can we keep our existing membership platform?

Often, yes. A review checks its supported login, API, webhook, directory, payment, and export capabilities before deciding what the website should manage.

Should all directory fields be public?

No. The organization must approve which fields are visible, to whom, and under what member preferences. Those rules belong in the access and publishing requirements.
