End a freelance engagement when the project no longer has a workable path: invoices remain unpaid, required access never arrives, the scope changes without agreement, communication becomes abusive, or the client asks you to do something unsafe or dishonest. The goal is a documented business decision, not a dramatic exit.

Review the agreement before sending anything

Check the termination clause, notice period, payment schedule, ownership terms, confidentiality duties, and required delivery format. Write down completed work, open work, unpaid invoices, and client-owned accounts. If the contract is unclear or a dispute is likely, ask a qualified attorney about the specific agreement and jurisdiction.

Choose an effective date and transition scope

Set a date that matches the agreement and gives both sides a clear stopping point. Decide which paid deliverables, credentials, documentation, and source files will transfer. Do not promise unfinished work simply to soften the message. Do not delete client data or disable a live system as leverage.

Send a short written notice

A useful notice states the decision, effective date, contract reference, remaining deliverables, amount due, access handoff, and one channel for final questions. It does not catalogue every frustrating conversation.

Hi [Name], I am ending our engagement under section [X] of our agreement, effective [date]. I will deliver [paid deliverables] through [method] and send the final invoice and access inventory by [date]. Please send questions about the handoff to [channel].

Protect access without holding the project hostage

Inventory domains, hosting, repositories, analytics, email, payment providers, and third-party services. Transfer client-owned accounts through each provider's supported process. Remove your personal access after the client confirms ownership and the contract allows it. Rotate shared credentials instead of sending them through ordinary email.

Close the financial record

Send an itemized final invoice and identify credits, approved expenses, and the payment due date. Keep the invoice and delivery evidence. Avoid improvising penalties or withholding rights that the contract does not grant. Use the dispute process in the agreement when payment remains unresolved.

Leave a clean handoff

List the current deployment and repository commit.

Identify known defects and unfinished requests.

Transfer paid files and client-owned accounts.

Record backup and recovery locations.

Confirm when your support responsibility ends.

After the engagement closes, update your intake, payment, access, and change-control process so the same failure is easier to catch next time.
